Outdoor Tented Wedding Celebration in Chappaqua, NY

Planning a wedding while juggling the demands of your everyday life is one thing. Doing it during the pandemic was a whole other ballgame. Between tracking your guest list, reminding guests to confirm that their recents test were negative, submitting permits to the city and adhering to the safety requirements for events, and all the other logistics in between, Sarah and Greg had their hands full.

Events by Mayven came onboard to finalize planning and coordination for their Spring outdoor tented wedding in the town of Chappaqua, NY out in Westchester County.

Planning an Outdoor Wedding in Chappaqua, NY: What to Know

Both ceremony and reception were held outdoors on the grounds of Church of St. Mary the Virgin in Chappaqua, NY. The reception setup involved a tent. As with any outdoor event, it is important to ensure that you get the right permit and approvals in advance. 

Depending on the scale of the setup that would determine the number or types of permits you might need to secure. For this event, the tent was the only structure being setup. The church had a full-service kitchen, and restrooms, which we had access to and so did not need to bring any onsite.

Bridal Prep, the couple’s first-look and family portraits took place at the bride’s childhood home. The beautiful garden filled with a wide variety of flowers and greenery made for the perfect backdrop to capture these special moments. As always, we had a Lead Planner onsite coordinating all of these pre-ceremony logistics, while an assistant coordinator was at the church grounds overseeing vendor setup.

Outdoor and private residence weddings are quite popular out here in Westchester County, and across the Hudson Valley as families have more outdoor space to accommodate such events. However, as a planner it is important to note that these events can be a bit more complicated to produce compared to utilizing a full-service venue. This is simply because you’re essentially setting everything up from scratch.

We love producing these private residence weddings and events, and are able to help clients with making the process more seamless when we are brought onboard early in the process. This allows us to assemble the right team of vendors who can execute and bring the vision to life.

For catering, we had the pleasure of working with the team at EventFULL NYC, who handled rentals as well as food and beverage. The beautiful florals – bride’s bouquet, boutonnieres, and centerpieces – were provided by the lovely Molly Oliver team.

Favorite Wedding Planner Moment

For their exit station and guest favors, Sarah & Greg had an assortment of LeVain Bakery cookies for guests to grab on their way out of the reception. It was such a nice touch of sharing one of their favorite things with their guests, but also providing a favor that guests will actually enjoy and not just an item that wouldn’t get any use.
